Below you will find varying policies that the ConVocation staff will enforce during the event. These policies are meant to keep all of our attendees safe, as well as our staff and hotel. If you have any questions regarding any of these policies, please feel free to contact: Info@convocation.org .

1. All attendees will observe all applicable laws. 

2. No illicit substances may be used on site.

3. Pursuant to state law, marijuana, medical or recreational, may not be smoked in public areas.

4. No public nudity.  Pursuant to the laws of the state of Michigan, public nudity is expressly forbidden in any public venue within convention space. This includes but is not limited to the classrooms, lobby, hallways, gym, or smoking area.  Acceptable clothing must completely cover the entire lower bikini area. Thongs are not complete coverage. The entirety of the nipple must also be covered with fully opaque clothing

5. Due to health and safety regulations, feet must be covered (shoes, slippers, or socks) in all public spaces.

6. No firearms are allowed in any convention space, regardless of status of personal license.

7. Ritual blades must be sheathed, peace-bonded, and visible while carried to and from rituals. Blades are not to be used or worn outside of ritual.

8. Pursuant to Michigan Law, smoking is not allowed in the public areas of the hotel or in ANY private room. Smoking and vaping is allowed outside only.

9. ConVocation badges are required to attend all convention events except the Merchant Room and Art Show, and Divination Den.

10. All Minors (17 and under) must have a parent or legal guardian attending or have written consent to attend that names the responsible adult who is registered and present. Minors, age 12 to 17, have a reduced rate and may attend appropriate classes by themselves between 9am and 10pm. After 10:00PM, a registered adult must accompany minors of any age. Children 11 and under are free, and must be accompanied at all times by an adult or minor age 12 to 17. 

11. ConVocation is an open event. Rituals and events held in public areas must be scheduled in advance and open to all attendees unless otherwise stated in the schedule.

12. Service animals are welcome; please leave all other pets and familiars at home.

13. No prolonged drumming in public areas outside of designated drum circles.

14. ConVocation reserves the right to deny entry to or remove from convention facilities any person who, in ConVocation’s sole and absolute discretion, is behaving or threatening to behave in a manner disruptive to the convention.

15. It is the policy of ConVocation and of MEC that we do NOT issue refunds of registration fees. Special cases may be considered at the first Board meeting after ConVocation.

16. Anyone who has failed to pay a debt to MEC/ConVocation or any merchant during ConVocation shall be refused admittance to any MEC event until such debt is paid.

17. Our community is diverse. We do not discriminate against anyone on the basis of age, race, gender, religious tradition, sexual identity, or disability.

18. Acceptance of a class or merchandise does not constitute an endorsement by MEC/ConVocation.

19. Kids programming is a classroom setting - appropriate behavior is expected. This includes but is not limited to respectful treatment of children, adults and property.

20. To avoid disruptions and distractions, we ask that electronic games not be brought into the kids program space.

21. The room will be staffed during class breaks, so children may be left in class with the Children’s Faerie for supervision between classes. 

22. Youth (those ages 12 to 17) are welcome to attend and leave the class by themselves.  Children 5 to 11 may be left for the duration of the class without an adult or youth with the teacher’s permission.  Children under 5 must have an adult or youth stay with them for the duration of the class.

23. Families who are unable to observe the rules may lose the privilege of leaving their children in kid’s classes without a parent.

Harassment is any behavior that intentionally threatens, alarms, or harms you or another person.

• If someone harasses you and you tell them to leave you alone, their business with you is done. If they do not leave you alone as you have requested, their actions may be grounds for a complaint of harassment. All harassment claims will be investigated to the best of our ability.

• Any complaint of harassment should be brought to the Information Table (located in the ground floor of the Convention Center next to Registration) as soon as possible after the incident.  If a member of our Guardian Staff is nearby when the incident occurs, please bring it to their attention and identify the person harassing you if they are still in the area.  The Guardian Staff member will then escort you to the Information Table where a member of the Operations Team in conjunction with our Guardian Team will take your report.

• Violation of any of this policy will result in consequences up to and including the revocation of an attendee’s badge without refund; a possible permanent ban from all future ConVocation events and contact with appropriate legal authorities. ConVocation reserves the right to deal with each matter individually, in a manner deemed fit by the MEC Board of Directors.

Pursuant to Michigan Law: NO smoking of ANYTHING inside the Hotel ANYWHERE.

The smoking area is located outside the doors at the end of the atrium hallway on the west side of the building facing the parking lot. Please refrain from smoking near the other exterior doors.

Pursuant to Michigan Law Marijuana including Medical may NOT be smoked in Public Areas.

ATTENTION ‘VAPERS’

Michigan law dictates personal vaporizers (vape pen, MODs, ecigs, etc.) are subject to all restrictions which apply to tobacco products, regardless of nicotine content.

The Ann Arbor Marriot Ypsilanti at Eagle Crest reserves the right to charge the guests of any room $250.00 for reclaiming a room affected by cigarette, incense, candle, sage, or other smoke or vapor that requires deep cleaning to remove the scent.

PLEASE, respect their request that we not fumigate their rooms.

• The safety of our community is our top concern.  We are following the CDC recommendations, which encourage people to get the vaccine/booster, wear a mask, and maintain social distancing.  We also acknowledge that these are guidelines which will be up to the individuals to adhere to.  We will have masks available, if needed.

• If you are experiencing any Covid symptoms, such as shortness of breath, loss of smell and/or taste, fevers/chills, cough, muscle or body aches, we ask that you take a Covid test and, if confirmed positive, not attend ConVocation.

• Your registration will be refunded if you are not able to attend ConVocation because of a positive Covid test.

• Please be respectful when taking your own pictures. 

• Always ask permission of the others in the photograph. 

• If someone states that they do not want their picture taken, do not take their picture.

• Please refrain from pictures during classes or rituals without the specific permission of those running the class and those in the class or ritual itself. 

• Please refrain from flash photography in the drum circles, dance floors, or other dark spaces - you may blind other attendees.

• Common courtesy will keep us all happy with photographic (or not) evidence of a wonderful weekend.
